Bypassing NetSuite’s File Limits for Automated AR Delivery

Every Accounts Receivable cycle meant a full day of manual work: downloading a file from NetSuite, converting it, validating it in Excel, then uploading it to an SFTP server by hand. Running that transformation inside NetSuite wasn’t a real option either, since a MapReduce script would burn governance and tie up the queue, and NetSuite’s file size limits would still block larger extracts from being sent directly. TAC built a pipeline that automates the full process end to end while keeping the heavy lifting outside NetSuite entirely, removing both the manual work and the platform’s built-in limits.

The Problem

The client’s Accounts Receivable (AR) reporting process was fully manual: each cycle, a staff member downloaded the file from NetSuite, converted it to txt format, validated it in Excel, and manually uploaded it to an SFTP server, a process that took roughly a full day each time.

This created a single point of failure, no audit trail, and growing risk as data volume increased. Automating it fully inside NetSuite wasn’t an option either: running the transformation as a MapReduce script would burn governance and tie up the script queue, and NetSuite’s outbound file size limits meant larger extracts couldn’t be sent directly from the platform regardless.

  • The Solution

    The solution automated the pipeline end-to-end while deliberately keeping the heavy processing outside NetSuite, combining NetSuite scripting expertise with Python-based integration experience to design around the platform’s limitations rather than being blocked by them.

    NetSuite exposed a small set of purpose-built endpoints, RESTlets to trigger the saved search, handle internal file processing, and poll job status, plus a Suitelet to retrieve the finished file’s ID, while an external process handled data transformation, formatting, and SFTP delivery. This kept NetSuite’s script queue and governance free, and removed the file size ceiling since files were never assembled or sent from inside NetSuite.

    The pipeline runs on a schedule with logging at each stage, so failures are visible immediately rather than discovered downstream. Delivery took about 6 weeks total: 3 weeks of requirements gathering and 3 weeks of implementation.
